PTO Board Job Descriptions

President

The president presides at all meetings and makes sure all campus and district rules and guidelines are followed. You are also responsible for all financial affairs of the organization and associated reporting even including any duties that are delegated to others. The president also co-signs checks with treasurer and ensures an annual audit is performed. As president, you will coordinate the work of members and committees in order that the organization’s objectives may be promoted and coordinate that the necessary reports are timely made to the appropriate State and Federal agencies as well as campus administration and the district office. The president also ensures a year-end financial report is given to the principal no later than June 15th and submits all fundraiser requests in written form to the principal for the school year no later than October 15th. As president, you are required to attend the monthly PTO board meetings as well as other PTO related events held during some school days and evenings. You are also responsible for any duties deemed necessary by the PTO board.

Vice President

The vice president helps plan and carryout fundraisers for the campus. As vice president, you get to be involved in many facets of the organization. The focus, however, is on the fundraising. We are allowed three main fundraisers each school year. We try to vary them to get as many people involved as possible. The vice president is also in charge of scheduling the many spirit nights offered by local companies. These nights are usually fun and inclusive while helping us to raise extra money. Raising funds for the school helps our organization to provide extra money to fund opportunities for our students and teachers. As vice president, you are required to attend the monthly PTO board meetings as well as other PTO related events held during some school days and evenings. You are also responsible for any duties deemed necessary by the PTO board.

Treasurer

The treasurer tracks the annual budget, posts financial transactions in financial system and creates a monthly report to share with the board.  The treasurer also receives and deposits all monies of the organization in the PTO bank account and prepares all required tax returns on behalf of the organization.  As treasurer, you also write reimbursement checks that will be co-signed with the president. As treasurer, you are required to attend the monthly PTO board meetings as well as other PTO related events held during some school days and evenings. You are also responsible for any duties deemed necessary by the PTO board.

Secretary

The secretary takes all minutes in the meetings, types them up and sends them out to the other board members. Another job is creating the newsletter when needed, keeping the blue sign up to date and sending out thank you notes from the PTO. As secretary, you are required to attend the monthly PTO board meetings as well as other PTO related events held during some school days and evenings. You are also responsible for any duties deemed necessary by the PTO board.

Membership Coordinator

The membership coordinator solicits and maintains a membership roll of the organization, helps organize membership levels and sign up incentives. As membership coordinator, you are required to attend the monthly PTO board meetings as well as other PTO related events held during some school days and evenings. You are also responsible for any duties deemed necessary by the PTO board.

Hospitality Coordinator

The hospitality coordinator is responsible for planning & coordinating teacher and staff appreciation events once a month and throughout the entire school calendar year.  Appreciation events range from breakfast, lunch, lounge goodies & stocking lounge, treats in staff boxes, refreshing staff facilities coordinating gestures from students, etc. As the hospitality coordinator, you also maintain and plan Kuehnle PTO traditions such as the Staff Welcome Back Luncheon in August, November Pie Collections, Holiday Dessert Bar & Teacher Appreciation week in May which includes 5 days of planning appreciation events, one being a PTO sponsored luncheon that week. You will also plan staff birthday treats once a month. As hospitality coordinator, you are required to attend the monthly PTO board meetings as well as other PTO related events held during some school days and evenings. You are also responsible for any duties deemed necessary by the PTO board.

Parlimentarian

The focus of the parliamentarian is to keep the PTO in compliance and ensure the board follows Robert Rule of Order (there is a book to answer any questions you have on this). You will also call the start and close of the board meetings. The parliamentarian oversees the Watch Dog program by helping with sign ups, schedules, and Watch Dog events. As parliamentarian, you are required to attend the monthly PTO board meetings as well as other PTO related events held during some school days and evenings. You are also responsible for any duties deemed necessary by the PTO board.
